Terms and Conditions

By booking a trip with ASPIRING ADVENTURES LTD (hereafter ASPIRING), you accept and are bound by these Terms and Conditions which outline, among other things, our cancellation policy and limitations of liability.

PAYMENT: A deposit of US$750 (or as agreed) per person, per trip (or the foreign currency equivalent) is required at the time of booking to confirm your reservation.

Your final trip balance is due for payment no later than two months prior to the commencement of the trip (e.g., if your trip starts on June 6, payment is to be received by April 6). Your total trip cost, including any additional cost items (multi-day options, single supplements, rental equipment, extra accommodation bookings, etc), will be shown on your invoice. In the case of non-payment of a balance by the due date, ASPIRING may treat the booking as cancelled by you.

LATE BOOKINGS: Booking made less than two months before a trip departure will require full payment at time of booking. Availability on some options may be limited and ASPIRING reserves the right to include a late booking fee for additional amendments such as extra hotel accommodation added within one month of the trip start date.

OUR PRICING AND SURCHARGES: Trip prices are set in US dollars (US$), and are based on costs and exchange rates applicable when marketing materials are printed and at time of booking and invoicing. ASPIRING reserves the right to adjust prices whether booked or not although we do everything in our control to limit these. We generally only amend prices due to large fluctuations in exchange rates, fuel costs, or other significant operating costs. In the unlikely event of a price increase, we will endeavour to notify you more than two months before your trip.

CANCELLATION POLICY: Your deposit is non-refundable and non-transferable to another departure date or trip. In the event that it becomes necessary for you to cancel your trip, the following cancellation charges apply based on the date ASPIRING receives written notification of your cancellation request:

• Prior to two months before trip start date: loss of deposit
• Between one month and two months before trip start date: 50% refund of the total trip cost
• Less than one month before trip start date: no refund

There will be no discount or money refunded for missed or unused services such as accommodation, activities, meals etc. This includes voluntary or involuntary early departure from a tour e.g. due to sickness or bereavement. Travel insurance is the only way you can potentially recover any of these costs.

REFUND POLICY: Our trips are guaranteed to operate once a minimum of two participants are confirmed. ASPIRING will advise you if minimum numbers have not yet been reached two months before the trip starts. If ASPIRING cancels a trip due to minimum numbers not being reached you will have the choice between taking an alternative trip, or a full refund. If the alternative trip chosen is of a lower value than that originally booked, then you are entitled to a refund of the price difference. If the alternative trip chosen is of a higher value, then you will pay the difference in price. ASPIRING is not responsible for any incidental expenses that you may have incurred as a result of your booking such as visas, vaccinations, non-refundable flights etc. If due to ‘Force Majeure,’ such as pandemic or Government travel advice, we are forced to cancel your trip, an alternative option will be offered or a full refund will be given less any unrecoverable costs.

TRIP ITINERARY AMENDMENTS: ASPIRING undertakes to provide travel services as outlined in the trip itinerary subject to its absolute discretion to alter any part of the itinerary and activities included therein. ASPIRING is the tour operator and you have no contract or agreement with any other person or company.

ASPIRING assumes no responsibility or liability for any delay, mishap, inconvenience, expense, injury or death, theft of personal property or documents, damage to property, or inability to operate the trip in whole or in part occasioned through weather, war, pandemics, quarantines, strikes, closed borders, road closures, civil disturbances, acts of God, detention, crime, illness, or the negligence or default of any individual or company in providing the services associated with an ASPIRING trip.

Adventure travel is by nature unpredictable. ASPIRING reserves the right to alter any part of the itinerary at its absolute discretion. We often make minor changes to itineraries to improve your trip. We will try to give you plenty of notice if we need to make any major itinerary changes.

TRAVEL INSURANCE: All ASPIRING guests are required to obtain travel insurance. You need to provide details of your chosen travel insurance company and your policy number on your Trip Questionnaire form. When selecting a travel insurance policy we require that your policy covers you for emergency repatriation, trip interruption, and full medical cover.

We strongly recommend that all guests obtain suitable insurance at the time of booking to provide cover in the event of illness or injury, medical evacuation, theft, trip interruption, loss of luggage and personal effects, damage to equipment (rental or otherwise), cancellation or other travel mishap.

Trip cancellation insurance and other insurance types can be obtained through local travel agents or online brokers such as travelguard.com, worldnomads.com and allianztravelinsurance.com.

GENERAL TERMS: ASPIRING reserves the right to use photographic images of you secured or taken on any of our trips without charge for promotional or publicity purposes only. This may include, but is not limited to, the display of images online, or within flyers, brochures, exhibition booths, or other marketing materials.

Any information or advice provided by ASPIRING on matters such as permits, visas, vaccinations, climate, clothing, baggage etc is given in good faith but without liability on the part of ASPIRING. It is your responsibility to ensure you have all the necessary travel documentation required for your trip.

ADVENTURE TRIPS: Your booking is accepted on the understanding that there are certain risks and dangers inherent in a trip of this nature. These risks include, but are not limited to, hiking over rocky and mountainous terrain, participating in adventure activities of an extreme nature, participating in sports involving water, aviation, and/or the possibility of accident or illness in remote areas without the possibility of immediate evacuation or availability of medical supplies or facilities. You acknowledge you are voluntarily participating in a trip with ASPIRING with knowledge of such dangers involved and hereby agree to assume all and any risks, including injury and death. You therefore release and discharge ASPIRING and its owners, employees, subcontractors, agents and business partners from liability for bodily injury, death, property damage or theft, and any of the consequences thereof, arising from your participation in the trip. You enter into this release of liability on behalf of yourself, and those members of your family who are under 18. You certify that you are the parent or guardian of any such minors.

PASSPORT DETAILS: We require a scan or photocopy of your passport photo page. We may need it to make some of your travel arrangements (such as permits, flights, train tickets, accommodation bookings).
